The Career Development Centre has guidelines for employers who recruit at ³Ô¹ÏÍø. Review the guidelines below prior to posting a position.
General Guidelines
- All organizations recruiting at ³Ô¹ÏÍø are expected to comply with all applicable federal, provincial and municipal regulatory and legal requirements within their relevant jurisdiction. Examples include:
- The Career Development Centre encourages employers to follow the Ethical Recruitment Guidelines recommended by the (CACEE).
- All employers recruiting at ³Ô¹ÏÍø must represent organizations with a verifiable business name, physical address, email address, phone number, website and the name of a contact who can be reached at the provided contact information.
- Organizations recruiting for international locations must disclose information about eligibility criteria and work permit requirements.
- The ³Ô¹ÏÍø Career Development Centre reserves the right to prohibit an employer from participating in any of its events and/or services based on student complaints, behaviour or actions by the employer contrary to the employer guidelines, and for other reasons deemed necessary by ³Ô¹ÏÍø Career Development Centre staff, such as human rights violations or breach of contract.
- It is not the role of the ³Ô¹ÏÍø Career Development Centre to monitor the recruiting practices of employers. However, if there are student complaints regarding an organization’s recruiting practices, the Career Development Centre will investigate.
- The Career Development Centre encourages all employers recruiting at ³Ô¹ÏÍø to express their commitment to diversity and inclusion on job descriptions by inviting applications from all qualified ³Ô¹ÏÍø students and alumni, including visible minorities, persons with disabilities and Indigenous people. Employers are also encouraged to identify physical or requirements on job postings.
Posting Job Opportunities
- The Career Development Centre advertises employment opportunities to ³Ô¹ÏÍø students and alumni through the ³Ô¹ÏÍø career portal, , and reserves the right to decline postings that do not meet specified job posting requirements.
- Employers are required to create an account in Navigator and complete the to post their employment opportunity in Navigator.
- Job postings clearly describe the job title, responsibilities, qualifications, and compensation. , Working for Workers Four Act, starting January 1, 2026, employers must disclose the expected compensation or salary range for a position in their job posting.
- Normally, the Career Development Centre only approves job postings that do not require fees to secure a position. If there are fees associated with securing a position (e.g., start-up costs, certification or other expenses), they must be clearly disclosed in the job posting.
- Job postings with straight commission-based compensation plans must note that information in their posting descriptions.
Third-Party Recruiters
- Third-party recruiters, as defined by the Canadian Association of Career Educators and Employers (CACEE), are considered to be agencies, organizations or individuals recruiting students for employment opportunities with other organizations.
- Third-party recruiters are required to disclose the name of the employers they represent to Career Development Centre staff on a confidential basis. This information will not be released to students unless permission to release is granted by the third-party recruiter.
- In situations where a duplicate position is posted by an employer and a third-party recruiter, the posting of the employer will be posted.
Entrepreneurial and Franchise Opportunities
- The Career Development Centre aims to help students make informed decisions regarding entrepreneurial and franchise job opportunities. While many students succeed and run profitable businesses, some face unexpected liabilities and debt. The Career Development Centre encourages students to verify employment terms with the employer.
- Job postings for entrepreneurial and franchise opportunities must include the following details:
- Compensation based on hourly, salary, commission, or base + commission.
- Details outlining additional performance incentives (bonuses, commission).
- Total average earnings for a new hire.
- Payment frequency.
- Upfront fees for training or materials.
- Penalties or fees if the franchisee leaves the program.
- Start-up expenses.
- Onboarding, training and resources provided by the company.
- Training start date and whether training time is paid or unpaid and if there are fees for training.
- Typical work schedule and average hours per week.
- Additional resources required for the job (e.g., driver's license, access to a vehicle, insurance, etc.)
- The Career Development Centre reserves the right to edit the job description or remove the posting if it does not include the above details.
- participate in job fairs.
Prohibited Recruitment Practices
The Career Development Centre does not permit job postings or recruitment activities involving the following:
Network Marketing Organizations
- Employers offering entrepreneurial employment opportunities based on a pyramid or multi-level type of business structure and requiring or encouraging the recruitment of others who in turn recruit more people to sell products or services.
- The Career Development Centre does not support organizations that require:
- sponsoring individuals with the expectation they set up their own business for the purpose of selling products or services along with recruiting others to set up their own business.
- requiring an initial cash investment, payment to attend training or the purchase of start-up equipment.
- compensation in the form of fees from others, housing or a percentage of fees from others.
Unpaid Internships
- The ³Ô¹ÏÍø Career Development Centre does not support or promote as regulated and outlined through the . Experiential Learning and Career Development supports unpaid work if it within the course curriculum for credit. Those opportunities must be arranged with the unit.
Employer Engagement Opportunities
Employer Recruiting Booth
- Employers may reserve an on campus recruiting booth for the purpose of promoting their organization and active job postings. Requests for booths must be made through the Career Development Centre.
- Due to limited space and the large number of requests received, bookings are available on a first-come, first-served basis. Book early to avoid disappointment.
- One booth per academic term will be booked at no charge (including cancellations). If an organization wishes to arrange more than one booking per term, there will be an administrative fee of $100 per additional booking, payable prior to the booking date. No refunds will be issued for cancellations.
Recruiting and Information Sessions
- The Career Development Centre arranges recruiting and information sessions. All room requests within the Career Development Centre are free of charge. Room requests at alternate locations on campuses will have a facilities charge. Media resource requirements are free of charge and must be booked through the Career Development Centre. Food and refreshment requirements (Waterloo campus) are to be made through and are payable directly to .
- Three sessions per academic year will be allowed with no charge. If an organization wishes to arrange more than three sessions in a year, there is an administrative fee of $100 per additional session (to a maximum of six bookings per year), payable prior to the booking date. No refunds will be issued for cancellations.
Interview Space
- The Career Development Centre has dedicated interview facilities available for employers to use for interviews. The interview facilities contain space for individual and group interviews and an employer lounge available throughout the day. All interview room reservations must be arranged through the Career Development Centre. Bookings must be arranged at least two business days in advance.
- Room requests for on-campus interviews are granted on a first-come, first-served basis.
- If employers have requested the Career Development Centre to schedule interviews on their behalf, a list of candidates (³Ô¹ÏÍø students and/or alumni) must be provided at least two business days before the date of the interviews, including the requested length of each interview, the start and end time of the interviews, and any break times that should be scheduled for the interviewers.
Promotional Materials On Campus
- The Career Development Centre can display posters and signs on behalf of employers within the Centre and on the Centre’s bulletin boards throughout campus.
- If employers wish to post signs directly on other bulletin boards throughout campus, these posters must be approved first by the Career Development Centre and by the respective representatives of the Vice-President, Student Affairs’ offices in Waterloo, Brantford and Milton.
- Organizations may hang a maximum of 25 posters, and these may only be put on designated bulletin boards as outlined by the Vice-President, Student Affairs’ office.
- Posters cannot be hung on restricted bulletin boards, walls, doors, windows or the outside of buildings. No promotional materials (lawn signs, free-standing neon signs, etc.) are permitted on the grounds of the campuses.
Classroom Visits
- Organizations may not conduct recruitment or career information presentations or distribute materials in classes without consultation with the Career Development Centre and subsequent permission from professors. The Career Development Centre reserves the right to restrict recruitment activities at ³Ô¹ÏÍø for failure to abide by this policy.
Communication with Students
- The Career Development Centre requests that employer organizations clearly inform students about job opportunities, recruiting and information sessions, provide accurate information, and are transparent in student communication.
- The Career Development Centre reserves the right to restrict recruitment activities at ³Ô¹ÏÍø if students are being misinformed.
Right to Decline or Remove
The Career Development Centre reserves the right to:
- Decline postings or requests that do not meet the criteria in these guidelines.
- Deny the approval of job postings that are deemed to be fraudulent, misleading or involve heightened risk.
- Remove postings or restrict employer access based on complaints, non-compliance, breach of confidentiality or misrepresentation.
Note: It is not the role of the ³Ô¹ÏÍø Career Development Centre to monitor the recruiting practices of employers. However, if there are student concerns or complaints regarding an organization’s recruiting practices, the Career Development Centre will investigate and take appropriate action.
